Life has a way of getting me down. Harsh words, difficult circumstances and wrong actions all pile up and I find my negative thoughts are replacing any positive thoughts I may have. I find that I am haunted by the past, decisions that I made that I now think were wrong and actions that I should have taken differently.

I find that the same scenarios play out in my mind over and over again and I keep wanting to put blame on myself for the part I played or don’t play in the outcome of a particular event. One thing I have learnt however is that this type of thinking is not in any way productive and is paralyzing me instead of motivating me. Often I feel like I am stuck in a whirlpool and just cannot get out. My thoughts keep going round and round with no resolution.

But this needs to change and I need to change my mindset and how I process my thoughts. I need to put aside what happened and move on to a better and happier future. We all have baggage from the past that is holding us back from achieving what we should be achieving.

Join me today and get rid of that baggage. Don’t let it weigh you down any longer, let us do this together, today we start enjoying life, we begin my appreciating the small things, we show gratitude to others and start having fun again. I will now endeavour to hold the positive and happy memories close and will do my utmost to toss away the sad and unhappy memories.

Share with me how you are overcoming your struggles and how you are making the most of life. We are on a journey and let’s make the most of it together.

Memories are what we hold on to but so often we are haunted by the past and by what we might think of as mistakes or wrong decisions instead I am now going to do my utmost to only hold onto the happy and positive memories.  I have learnt my lesson and now it is time for me to move on to a better and happier place.

How to Hire a Virtual Assistant http://adminpro.co.za/blog/how-to-hire-a-virtual-assistant.html http://adminpro.co.za/blog/how-to-hire-a-virtual-assistant/#respond Mon, 08 Jul 2019 15:20:26 +0000 http://adminpro.co.za/blog/how-to-hire-a-virtual-assistant.html

Deciding to hire a Virtual Assistant is an important choice that any entrepreneur can make. You will continue to waste valuable time and energy on activities that don’t actually contribute to the growth of your business until you have someone to delegate specific tasks to. When hiring a Virtual Assistant, you are hiring a team member. Their tasks may change over time, but they will occupy a specific role on your team.

Create a standard operating procedure

Document the process you would like to outsource by writing each step down, include screenshots when necessary and add detailed information on how you would prefer these tasks to be completed. You can also document the outcomes you want your assistant to accomplish instead of the specific tasks or procedures. This will give you a better idea of what skills and experiences will be needed.

Develop a job description

It is important to identify what tools your Virtual Assistant should be skilled in, such as Excel, PowerPoint, or Outlook. Your preferred experience levels and skills should be shared with a detailed list of the tasks they will be performing. In order to attract well-qualified candidates remember to describe the scale of your request.

Test the Applicants

Test the abilities of the applicants, this will allow you to distinguish those exaggerating their skills from the rest. Have the applicant’s answer a few fake email prompts or schedule several meetings on an imaginary calendar. Pick a task that would be part of their responsibilities, and see how they perform this task. This will help you to determine who the top candidate really is.

Include a keyword or “Easter Egg” in your job posting

Insert a line at the bottom of your job description asking applicants to “Include their favourite quote” in their reply. This helps you weed out assistants who are not detail-oriented. This is especially useful for sites where virtual job positions are posted and available job seekers apply.

Interview potential candidates

Conduct an interview when possible. Some virtual assistant companies will pair you with an assistant while others will allow you to meet. Video interviews can also be conducted. You can determine if you like someone and communicate well with them on a video call. Ask questions that can’t be answered by looking at their CV.

Start on a trial basis

If possible, start your candidate off on a trial period to decide whether you work well together. A trial period also gives your Virtual Assistant an incentive to do a good job, knowing that it may lead to a permanent position. However, not all companies allow you to trial an assistant. Make sure to communicate early in the process that both parties are aware there’s an exit if it isn’t a good match.

Train your virtual assistant

It is crucial your assistant is well-trained in order for this to work and for it to save you time. Take the time to answer questions, provide comprehensive documentation, and explain why and how you prefer each task to be completed.

Be Realistic

Don’t expect the same loyalty, understanding of your business, or rapport with your virtual assistant. There is a reason you decided not to bring this role in-house. Finding a healthy working relationship with your assistant is key, and can be done by keeping your expectations in perspective.

Don’t be afraid to move on

Sever the relationship if it is not working out. Hiring a virtual assistant should relieve stress, not create more work for you.

Food and Other Memories http://adminpro.co.za/blog/food-and-other-memories.html http://adminpro.co.za/blog/food-and-other-memories/#respond Mon, 01 Jul 2019 15:12:41 +0000 http://adminpro.co.za/blog/food-and-other-memories.html

One of my earliest food memories is of drinking carrot juice. Yes, carrot juice. My amazing Irish grandmother was an intriguing and very strong-willed person, she would weekly swim in the cold Atlantic ocean and had some really interesting views on life, religion and food (these were strange to me as a young child but maybe not that strange to me as an adult). I remember visiting her in her Victorian house in the Gardens, Cape Town and been offered carrot juice to drink. It was a case of having to drink the juice and not having the choice of not drinking it. I think my brother enjoyed the bright yellow liquid more than I did and tried to help me finish my quota of the liquid. My grandmother passed away in 1988 and how I wish I could now enjoy a glass of carrot juice with her (I sure I would enjoy it more now than I did as a young child).

My grandmother actually scared me almost to the point of running and hiding when she came to visit. However all was forgiven because she would always bring me a KitKat as a present. The crispy wafers and chocolate outside was enough to bring me out of my hiding place.

I am sure if we all sit and reflect, memories of the past will flow back into our minds. Some good and some bad memories but all our memories combined are what makes us who we are today.

If I start focusing too much on the recent past I start getting sad but the pain is easing and healing is taking place. I am finding my identity of who I am and what I stand for.

Chocolate Cravings http://adminpro.co.za/blog/chocolate-cravings.html http://adminpro.co.za/blog/chocolate-cravings/#respond Mon, 17 Jun 2019 08:51:16 +0000 http://adminpro.co.za/blog/chocolate-cravings.html

What is your downfall, what is your vice? Mine is chocolate. I recently decided that I would begin to tackle this ‘weakness’ by limiting or stopping to eat chocolate and at the same time cutting back on my sugar intake. I have to admit that I was already pretty good before I started this lifestyle change, for instance I didn’t add sugar to warm beverages and generally practiced healthy eating using informed choices. What spurted me on to make this change however was a recent visit to the dentist and a second viewing of ‘That Sugar Film’. If you have not seen this film, it is well worth a watch although it is a few years old it still has relevance with regard to hidden sugars found in processed foods. Here is a trailer for the film: https://youtu.be/6uaWekLrilY.

So what I find is that I can give up chocolate and not want any for long periods of time but if I start eating chocolate I find it difficult to stop and can quite easily finish half a slab of chocolate or more in one sitting. Night time cravings are the worst. So for the moment, no chocolate for me. What I do currently enjoy, this may sound totally crazy, is visiting the chocolate aisle in the supermarket and looking at all the divine types, variety and choices of chocolates that are available. Oh my word, but take note, I am just looking not buying. So far this has worked and I have not bought any chocolate for myself and also have not eaten any for more than a month.

Enough about chocolate and back to business. I am happy to report that our baby milestone cards have proven to be an enormous success. @SilverLakesAdminPro you rock. If you were wondering what these milestone cards are all about, like I was at first, they are professionally-designed cards that list the unique milestones each baby goes through like baby’s first tooth. A date is written on the card and the moment captured with a photograph. These cards are customized and tailor-made to meet the needs of each customer. Great gifts for baby showers.

If you have any queries concerning these cards or any other services which we offer (admin and social media management), contact us via Facebook, on WhatsApp 076 5899 088 or by email kathy@adminpro.co.za.

Wrap up warmly and if you have a moment, try to watch ‘That Sugar Film’.

Hire a Travel Virtual Assistant Today http://adminpro.co.za/blog/hire-a-travel-virtual-assistant-today.html http://adminpro.co.za/blog/hire-a-travel-virtual-assistant-today/#respond Sun, 09 Jun 2019 13:28:48 +0000 http://adminpro.co.za/blog/hire-a-travel-virtual-assistant-today.html

With the growing number of travel research tools, booking a flight is easy. There was a time when only a travel agent could source great deals on flights, accommodation, and car rentals. However, virtual assistants can now be hired to assist with this as well as help find the best restaurants, entertainment, and local attractions for your trip.

Planning a trip can be especially hard if you are travelling with small children, large groups or someone with health restrictions. Imagine needing to travel overseas on short notice, would it not be great to have an assistant plan your travels.

How often has it happened that by the time you book your flight the price has gone up significantly? Over 50% of people spend more than an hour booking a simple flight, excluding the time they spent monitoring flight prices. Anyone can enjoy the benefit of a travel manager. We can take care of all your travel details so that when you arrive at your destination your rental car is waiting, your hotel is reserved and your itinerary is planned.

Let us do this for you. We can work with your preferred travel agent, airline or make bookings online. We can even manage your frequent flyer account to ensure you get the seat and meal options you want.  Using a travel virtual assistant means more time for you to focus on your businesses. While you design marketing strategies and plan your business’ development, we could be planning your next trip. Travel virtual assistant assist with:

  • Planning travel budget;
  • Booking flights, rescheduling flights & cancelling flights
  • Booking cruise tickets;
  • Luggage and check-in;
  • Transport to and from airports;
  • Accommodation;
  • Private car rentals;
  • Restaurant reservations;
  • Day trips to resorts, sightseeing and more.

Unlike a travel agent that simply gives you options on trips, we are not only in charge of booking your trip but also arranging your entire trip. We also assist with notifying you of the necessary visas, insurance, recommended immunizations and can provide you with a list of emergency contact details and consulate addresses.

An itinerary of your trip is provided to you before you depart so that you know the exact details of your journey, meetings, and accommodation. You can sit back and prepare for your next meeting while your travel assistant handles any road bumps that may come up like flight delays, booking cancellation, money refunds, etc. Handling these problems on your own can be disastrous and stressful. Should anything go awry, we are able to make changes on the spot and get you back on schedule.

Whether you are travelling for business, pleasure or just need advice with your travel arrangements, give us a shout. We can make the entire experience much more stress-free.

Why I Am Grateful http://adminpro.co.za/blog/why-i-am-grateful.html http://adminpro.co.za/blog/why-i-am-grateful/#respond Sun, 02 Jun 2019 10:39:06 +0000 http://adminpro.co.za/blog/why-i-am-grateful.html

I try to spend some quiet time daily to think about all the things I am grateful for. When just sitting and reflecting, it does not take long before a list is generated in my mind. I think as I have grown older it has become more apparent to me that I can’t take things for granted. This particularly applies to my health and family.

Now why am I rambling on about gratitude? What does this have to do with Silver Lakes Admin Pro where our focus is on administrative work, social media management and other value-added products?

My answer to this is that so much of my gratitude stems from Silver Lakes Admin Pro. This includes the residents who used our services to help manage their rental properties and resolve Tshwane queries, to my partner in crime, to Madeleine from the Pilates Studio who had the confidence to allow us to manage the Absolute Pilates Facebook page. Of course there are others we have met along the way who have given us moral support and encouragement.

I am sitting writing this blog a very long way from home. It is not easy for me to be out of my comfort zone with all kinds of challenges that need to be confronted. However one thing is certain, I have lots to be grateful for and gratitude helps me through difficult times.

DIY Gift Ideas for Mother’s Day (For Moms and Dads to Read) http://adminpro.co.za/blog/diy-gift-ideas-for-mothers-day-for-moms-and-dads-to-read.html http://adminpro.co.za/blog/diy-gift-ideas-for-mothers-day-for-moms-and-dads-to-read/#respond Sun, 05 May 2019 16:35:52 +0000 http://adminpro.co.za/blog/diy-gift-ideas-for-mothers-day-for-moms-and-dads-to-read.html

Encourage your kids to make a homemade gift for Mother’s Day. What could possibly be more special than a gift that a child has spent their time and energy on making?

Some buy nothing ideas:

  1. Card – give your kids paper, pens, crayons, glue and any other stationery supplies you have laying around the house (maybe you have some leftover glitter, interestingly shaped dried pasta, streamers and the like) and let them create a special Mother’s Day card. The card will be something to be treasured and to show to them when they are grown up and have kids of their own.
  1. Baked treat – there are so many recipes available on the web or even use this time to teach them how to make a family favourite. The sky is the limit with this one and it will be an amazing learning experience. The bonus – the end product can also be enjoyed together.
  1. Plant something – so much of our kitchen scraps can be salvaged such as the ends of carrots, onions, spring onions and celery and grown into new plants. Pique their interest in growing their own vegetables and herbs. Since avocado season is upon us why not get them to take the pit of the avocado and grow an avocado plant in some water. It is a trial and error exercise but when there is success and something starts growing, it is extremely rewarding.
  1. A gift does not need to be a physical gift – ask your kids what makes them happy for instance do they enjoy spending time with their grandparents, playing sport, being with their friends and playing with their pets. Find a related area where they can then give something to someone else perhaps visit an old age home or old neighbour, spend time at the local animal shelter or just a simple handwritten note to a special friend to say thank you for the friendship.

And finally, Happy Mother’s Day to everyone.

Top 5 Mother’s Day Photo Book Ideas http://adminpro.co.za/blog/top-5-mothers-day-photo-book-ideas.html http://adminpro.co.za/blog/top-5-mothers-day-photo-book-ideas/#respond Sun, 21 Apr 2019 08:48:04 +0000 http://adminpro.co.za/blog/top-5-mothers-day-photo-book-ideas.html

It goes without saying that being a mother is one of the toughest, most rewarding jobs. Not a day goes by that we aren’t grateful for all the sacrifices that moms across the world make every day. This year skip the flowers, and breakfast in bed. Nothing says “I love you” like a beautifully bound book full of memories.

Baby book

A new mom’s first Mother’s Day is a very special occasion. You can’t stop children growing up, but you can freeze those precious moments in time with photos. Dad’s you can’t go wrong with a cute baby book or putting some of those new-born photos together for her. She will keep on saying ‘aw’ long after they’ve left the nest.

Family cookbook

Mom (and everyone) would love to have those cherished recipes down on paper. Print your family’s favourite recipes, including the best dishes from your parents, grandparents, aunts, uncles, siblings, and grandchildren. Personalise this recipe book with photos of your family enjoying these tasty dishes.

Family history

Recreate your mother’s life story including photos and memorabilia from her childhood, school days, marriage, and children. You can also go further up the family tree and start with her parents or grandparents. She will love her walk down memory lane.

Pick an event

Don’t allow your hesitation of going through a mass of photos to discourage you from starting your photo book. For an easier task, try focusing on a single event such as Easter, vacations, family reunions or even kids art. These themes are more photo-focused and let the pictures tell the story. Your mom will cherish these memories forever.

Make it all about the grandchildren

Your mom will always be the most beautiful mom in the world. Thank her for everything she’s ever done for you with a personalised gift of family pictures. Nothing would make her happier than a photo book filled with pictures of the grandchildren.

Show your mother just how much you appreciate her.

No matter if you are a professional photographer or just take pictures to capture special moments, photo books capture precious memories and experiences in our lives that we might otherwise forget. Here are a few reasons why you should be creating photo books:

Preserve moments

Consider all the snapshots we take throughout our lives, a child’s first day at school, Sunday lunch with the family and all those selfies. Photo books capture your journey and save them for the future.

Leave a legacy

We often do not realise how precious memories are until we need them. Photos give us the opportunity to share stories of family members who have passed on with children and grandchildren who wouldn’t otherwise have known them. They also allow us to travel back in time to those special moments that bring us joy.

The offline experience

Nothing beats print. A photo book is more impressive to show than an image on a smartphone screen. Even though a digital image can easily be stored online, how often do we take the time to look through them? It is a great feeling to see your own work in a book. Not to mention the feeling of joy and satisfaction that comes from paging through a beautifully printed book.

A thoughtful gift

People love seeing the thought and effort that was put into their gift. Give your friends and family a unique gift that is meaningful and celebrates your life together. A gift that will withstand the test of time.

Tell your story

Photo books are an amazing way to introduce your work to potential clients and make your business look more professional. Pictures come alive in photo books, giving them new meaning. Albums capture your journey, your travels or just your overall year and save it for the future.

The moments in your life should be treasured! Capture your memories in a photo book.

Avoid These Annoying Facebook Mistakes http://adminpro.co.za/blog/avoid-these-annoying-facebook-mistakes.html http://adminpro.co.za/blog/avoid-these-annoying-facebook-mistakes/#respond Tue, 26 Mar 2019 16:36:49 +0000 http://adminpro.co.za/blog/avoid-these-annoying-facebook-mistakes.html

1-book-3387071_1920

Facebook is a wonderful way to connect with clients, however using it the wrong way and filling prospective clients’ Facebook feed with annoying posts can quickly turn into a marketing disaster. Whether due to eagerness or being overwhelmed, these are common mistakes small businesses make on social media:

Using bad grammar

Bad grammar makes you look unprofessional. One way to prevent grammar errors is to proofread your content beforepostingit (or hire someone to proofread it for you).

Posting too little or too often

There is no one-size-fits-all guide on how often to post. Find what works for you and your audience.

Overselling & only posting self-promoting content

One of the biggest mistakes businesses make is assuming social media is a sales tool. This only puts people off. Your social media profiles should be used as a way to stir interest.

Lack of personality

Allow people to see the human behind the posts by sharing your behind-the-scenes photos.

Posting irrelevant content

Be wary of injecting too much personality into your social media feed as this could confuse your followers.

Bad or poor quality photos

Prospective clients are more likely to notice visual content as opposed to text. Take the time to edit before posting, otherwise you will look bad next to everything else in the feed.

Ignoring posts to your page or responding unprofessionally

People often forget the importance of customer service on social media. Responding to comments and resolving customer issues will lead to good word-of-mouth referrals. This will also show others how much you care.
